SOPs for Operations

1. Hygiene Standards

  • Daily Responsibilities:
    • Clean all workspaces, washrooms, and common areas thoroughly.
    • Restock WC paper, soap, towels, shower gel, and other essentials at the start and end of each day.
    • Conduct deep cleaning twice a week for washrooms, showers, and high-touch areas.
  • Accountability: A designated staff member will complete a hygiene checklist daily, and a supervisor will verify its completion.

2. CRM Updates

  • Data Input:
    • Enter accurate client names, surnames, and contact details without errors.
    • Update notes with every client interaction, including preferences, follow-ups, and feedback.
  • Sales Documentation:
    • Ensure all membership forms are filled out correctly, signed by the client, and verified by a supervisor.
    • Log daily sales reports before the end of each shift.
  • Follow-Up Process:
    • Schedule and execute follow-ups daily. Document all interactions in the CRM.

3. Sales Processes

  • Initial Client Interaction:
    • Use a professional, friendly tone when introducing services or products.

  • Membership Forms:
    • Ensure forms are completed properly with client signatures and filed immediately.
    • Review forms daily to avoid errors or omissions.

4. Club Maintenance

  • Daily Maintenance:
    • Keep cables organized and devices stored neatly.
    • Turn off all electronics (computers, BMI machines, TVs, etc.) at the end of the day.
    • Ensure garbage bins are emptied and tissue boxes are stocked.
  • End-of-Day Checklist:
    • A staff member must complete and sign an end-of-day checklist, which the supervisor will review.

5. Personal Hygiene and Appearance

  • Grooming Standards:
    • Staff must maintain a professional appearance (clean uniforms, tidy hair, etc.).
    • Personal hygiene is mandatory to create a positive impression on clients.
  • Self-Improvement:
    • Engage in weekly training sessions and pursue online courses to develop sales and communication skills.
